NICC COMMUNITY CLUB GUIDELINES

NICC Community Clubs are volunteer-led community programs. By joining or attending a club, you agree to follow the rules below and all general NICC facility rules.


1. Volunteer-Led Structure

1.1. Each club is run by volunteer Club Leads and volunteer members.
1.2. There is no full-time NICC staff assigned to run club meetings; everyone is expected to help.
1.3. Club Leads are responsible for:

  • Coordinating the program / agenda for each meeting
  • Ensuring that set-up and clean-up are completed
  • Ensuring registration handling and record-keeping are done properly


2. Use of Space: Set-up & Takedown

2.1. Members must arrive in time to help set up the room (tables, chairs, equipment, signage, chai station, etc.).
2.2. At the end of every club meeting, all members must assist with:

  • Putting away tables, chairs and equipment in the correct storage locations
  • Wiping tables and counters used
  • Sweeping / spot-mopping any obvious spills

2.3. The space must be left as good as or better than it was found.


3. Chai / Refreshments

3.1. Chai and refreshments are organized and served by club volunteers.
3.2. Volunteers must:

  • Set up the chai station neatly (urns, cups, stirrers, sugar, etc.)
  • Maintain cleanliness during the program (wipe spills, manage used cups)
  • Fully clean the area after the program (wash or dispose cups as applicable, wipe counters, switch off and unplug equipment, return supplies).
  • Scan beverage and meal passes and keep adequate records of supplies used.


4. Pre-Ordered Meals

4.1. Where meals are pre-ordered (online or otherwise), club volunteers must:

  • Receive the delivery and check quantity and items against the order
  • Organize a smooth, orderly distribution to members
  • Keep aside any meals for latecomers, if pre-arranged

4.2. Leftover food must be handled according to NICC guidelines (no food left open in the halls, fridges used only where permitted, etc.).


5. Garbage & Recycling

5.1. All garbage (cups, plates, napkins, food waste, packaging, etc.) must be collected and placed in garbage bags.
5.2. Recyclables must go into appropriate recycling bags / containers where available.
5.3. Bags must be tied securely and left at the designated location as per NICC instructions (not left loose in the hall).


6. Behaviour, Safety & Respect

6.1. All participants must follow NICC’s Code of Conduct, including:

  • Respectful language and behaviour
  • No harassment, discrimination, or disruptive conduct
  • Respectful treatment of volunteers and other members

6.2. Children must be under adult supervision at all times.
6.3. All health, safety and emergency procedures of NICC must be followed (fire exits, capacity limits, no blocking corridors, etc.).


7. NICC Rules & Policies

7.1. In addition to these club rules, all standard NICC Facility Rules, Rental Policies and Safety Procedures apply to every club meeting.
7.2. Club Leads are responsible for ensuring members are familiar with NICC terms posted on-site or provided by NICC management.


8. Quick Opening Checklist (for Club Leads)

  • Room set up for the meeting or program
  • All attendee passes scanned
  • Beverage setup done and meal delivery received and distributed
  • Follow the agenda setup of the meeting / program


9. Quick Closing Checklist (for Club Leads)

  •  Room set up returned to original layout
  •  Tables, chairs and equipment put away properly
  •  Chai station cleaned and equipment switched off / unplugged
  •  Floors checked; major spills wiped
  •  Garbage and recycling bagged and left at designated area
  •  Chai money counted, envelope completed, signed and placed in safe
  •  Lights off, doors locked (as instructed), and space left tidy
